Business Terms and Conditions
What you can expect when working with us
Our goal is to provide you with a website which you love and are proud of. In doing so, we recognise that so much of how you feel about your website will be reflected in the process of getting there. You can expect us to be committed to our professional relationship.
We will be available for meetings at the agreed times and will always reply to emails within a 48-hour period, Monday to Friday, usually much earlier. You can expect honesty and integrity in all aspects of our dealings together. We aim to be transparent in all areas of our working relationship, communication, design and payment.
What we expect when working with you
We expect to work in partnership with each other throughout the entire project. We can handle the website design and build we can handle, but we will need your input for text, images, and data, all provided in a timely manner.
We are happy to communicate and collaborate with other professionals working with you, for example, Graphic Designers or Videographers and will need you to introduce us via email. We expect you to be courteous at all times, as we will be with you. Honesty and integrity on your part, as well as ours, will help us all to communicate well and end up with a website you love and are proud to show off.
When working with a team
In the event of creating websites for teams, we will need one person to be the spokesperson for the project, and we will meet with them on a 1:1 basis. Please ensure that feedback from all interested parties is collated and returned in one go. We expect all necessary internal consultation to have taken place before you feed back.
Supplying Data & Information
It is your responsibility to supply all data for your website. This includes copy text, images, logos and links to any external services you wish for the website to be connected to. In addition to this, we will need information pertaining to Typefaces (Fonts) as well as Hex codes (colour codes) used in your branding. Image files, including logos, should be sent in either .png or .jpeg formats. Text files should be sent as either Word, Google Docs, Pages docs or PDF files. Typeface files should be sent in otf or ttf format. Text and typeface files can be sent via email. Images (including logos) should be sent via a folder we will invite you to.
Copyright & Trademarks
By supplying text, images & other data to Build Your Business Online for inclusion in your website/marketing materials, you declare that you hold the appropriate copyright and/or trademark permissions. The ownership of such materials will remain with you or the rightful copyright or trademark owner. By supplying images, text and any other data to Build Your Business Online,you are granting This Demanding Life permission to use this material freely in pursuit of the design of your website/marketing materials. Should you or Build Your Business Online supply an image, text, audio clip or any other file for use in a website or marketing materials believing it to be copyright and royalty free, which subsequently emerges to have such copyright and royalty usage limitations, the customer will agree to allow Build Your Business Online to remove and/or replace the file on the website.
You agree to fully indemnify and hold Build Your Business Online free from harm in any and all claims resulting from your having not obtained all the required copyright and/or any other necessary permissions. You are responsible for ensuring the design or wording used in your website/marketing materials does not breach any third-party rights, credibility, trademarks, copyrights, etc.
The process & working together
The more information you provide at the beginning of the project, the smoother the design and building of your website will be. We are happy to provide you with a guide of what you will need for your website, but unless expressly agreed prior to the start of the project, we will not write your copy or source images for your website. Once you have provided all the information needed to build the website and the deposit has been received in cleared funds, we will agree to a start date for the project and a date when you can expect to view the website in first draft format. We aim to deliver websites in the first draft format 6 working weeks after commencing the project. We can only achieve this if we have all the content needed to build the site.
This content includes:
- Copy Text, including Headings & body text
- Images in Hi-res format,
- Video and Audio files (where relevant)
- Logos in Hi-res format
- Brand Hex colours
- Typeface (font) styles & files with appropriate commercial use license, where relevant.
If products or services are available to purchase directly from your website, then we require your registered business address to display on your site.
We will keep you updated with your website progress each week, via email and at times, with video walkthroughs. It is important we receive feedback from you each week so we know we’re building a site you love, and your feedback will influence the design and building changes each week. Therefore, providing feedback in a timely manner (preferably within 2 working days) is crucial. If no reply is received within 14 days is received your website is considered abandoned (see Cancelled and Abandoned Projects)
Once you have viewed the website in its first draft format, you have an opportunity to suggest any changes you would like made to the website. These changes will be made within 4 working days of receiving the instruction. When these have been done and you are satisfied with the website, we will agree to ‘sign it off’. This is when the balance of money is due, and once cleared funds have been received, the website will go live. Should you wish for any updates or changes to be made to the website after signing off or at a later date, contact should be made by email, and any work is chargeable. A rate to be agreed prior to the commencement of work.
Working hours, availability & response times
We are committed to Flexible working practices. Therefore, we will not always be available during the standard working week of Monday-Friday, 8 am – 6 pm. We aim to hold client-facing hours between 10 am and 3 pm, Monday to Friday. We will always try to accommodate your communication needs and reply to emails promptly. Please note that meetings are usually scheduled a minimum of 48 hours in advance. We communicate via email and Zoom Calls. Please be mindful of not calling us on the telephone without a pre-booked appointment, as it may not be within our flexible working hours. We aim to reply to emails/return calls within 48 hours, Monday to Friday. If the team member working on your website is going to be away from the office for more than 24 hours, another member of the team will handle your enquiry.
Communication between us will be via email and Zoom. Please do not contact us via WhatsApp or Instant Messaging.
Terms of Service for Payment Plans
Payment terms are 50% of the agreed price, as a deposit. Once funds are received, we will confirm the date when work on your website will begin. This date is dependent on receiving all the information needed for the building of the website. Once the website is complete, it will be shown to you in first draft format. This is your opportunity to make any tweaks and changes to the website.
When these changes have been made, the website is ready to be signed off. The final payment of 50% of the agreed price is now payable.
Once cleared funds have been received, the website will be sent live. At this stage, the website build is complete. Any further work to the website following this will be payable, price to be agreed and paid prior to starting any additional work. Should content not be supplied within 12 months, then the project is considered abandoned. Files will be archived, and your deposit will be forfeited. If you then decide to go ahead with a website, we will provide an updated quote, and a deposit will be requested for the new project.
We also offer flexible payment plans of equal amounts over 3 to 6 months if you opt for our Website Maintenance Package. The specific details of the duration will be agreed upon with you.
Hosting Fees
If you decide not to use our Website Maintenance Package. We can’t release your website files until the full payment is made.
Builds usually take around 4-8 weeks. If the building takes longer, we may charge additional hosting fees until the site is complete.
Payment and Termination
- Non-Payment: If payment isn’t made, the website will be removed from the staging platform and archived. An unarchiving fee of £75 will be payable to restart the project.
Payment timescales
All website quotes, including where a deposit has been received, are valid for a 3-month period. After which, the price of the website may change, in line with a change in our working rates, an increase in the rates of software used and any other circumstance. If a deposit has been paid and the content has not been received for the website within 3 months, we will provide an updated price for the website prior to cthe ommencement of the work. Once a deposit has been received for a website build, it is not refundable.
Payment for different services
We offer the following services:
- Custom Built Websites
- Template Websites
- Website Hosting
- Website Maintenance
- Website content updating
Each service has a different payment level and terms, which are explained prior to commencement of the work. Please note that payment is not transferable or redeemable across the services.
For example, you cannot redeem a Website Clinic hour payment against a website build. In the event of you booking me for more than one website project, each website is treated as an individual project and payment is not transferable or redeemable across the different websites.
Design & Usage Rights
Any website designed and built by Build Your Business Online should be credited to Build Your Business Online with links, where appropriate, to the website. In the case of the website design having been designed by a graphic designer and the website built by Build Your Business Online, the graphic designer will be credited for the design and Build Your Business Online will be credited for the building of the website. Where websites have been designed and built by Build Your Business Online, the design must not be replicated without express written consent from Build Your Business Online
All design work – where there is a risk that another party may make a claim- should be registered by you with the appropriate authorities prior to publishing or first use and legal advice sought as to its use. Build Your Business Online will not be held responsible for any and all damages resulting from such claims. Build Your Business Online will not be held responsible for any loss, or consequential loss, non-delivery of products or services, of whatever cause. You agree not to hold Build Your Business Online responsible for any such loss or damage. Any claim against Build Your Business Online shall be limited to the relevant fee(s) paid by the customer.
Software
Your website will be built on the WordPress platform. Included in the price of the website is the installation and license of your theme. Additional plugins, apps or tools to increase the functionality of your website may also be used and, provided they are not premium versions of the tools, will be included in the cost quoted for the website. Additional tools for the extended website functionality, such as membership plugins, online courses, booking systems or forums, will be subject to the license fee and an installation and setup fee.
In most cases, this will be discussed prior to the building of the website and included in the agreed price. In rare cases, this can be agreed after the building of the website has started. If this is the case an additional price will be quoted. The installation and setup of the plugins will not take place until funds have been cleared.
Once the website has been signed off and payment is complete, the license for the plugin transfers to you. It will be your responsibility to renew any annual licenses.
Recommendations of other professionals
During our work together, we may recommend other professional services to improve your website and online presence. This includes but is not limited to photographers, copywriters, SEO experts, branding specialists and graphic designers. These professionals are purely recommendations, and we are not responsible for any communications, services provided, or payments agreed should you engage them in their services.
Cancelled and Abandoned Website:s Cancelled Projects
Cancellation of services may be made by email. As technical errors can occur, if you have not had an email response within 48 hours of cancellation then please re-send the email and contact Build Your Business Online by telephone. You will then be invoiced for work completed over and above the non-refundable deposit which will have been made to secure the design and building of your website. The balance of money due must be paid within 14 days. Late payment will attract a £50 penalty. Website files will be removed from the server and sent to you upon settlement of the final invoice.
Please note: any cancellation which has not been formally communicated via email will be deemed null and void and you will be liable for the full quoted cost of the project.
Abandoned Projects
If we do not hear from you within 14 days of our last communication, we will assume you no longer wish to continue with the website build and cancel the project. Should you wish to reopen the project within 28 days of our last communication, it will be subject to a reactivation fee of £75. If we do not hear from you after 28 days, your project is considered cancelled, and the above terms apply.
Rights of refusal
Build Your Business Online will not include in its websites and marketing materials any text, images or other data which it deems to be immoral, offensive, obscene or illegal. Advertising material must conform to the standards laid down by all relevant advertising standards authorities. Build Your Business Online also reserves the right to refuse to include submitted material without giving a reason. In the situation where any images and/or data that Build Your Business Online includes in all good faith, and subsequently discovers is in contravention of such Terms & Conditions, you are obliged to allow Build Your Business Online to remove the contravention without hindrance or penalty. Build Your Business Online is not to be held in any way responsible for any such data being included.
Disclaimer
Build Your Business Online makes no warranties of any kind, express or implied, for any and all products and/or services that it supplies. Build Your Business Online reserves the right to use the services of sub-contractors, agents and suppliers and any work, content, services and usage is bound by their Terms & Conditions. Build Your Business Online will not knowingly perform any actions to contravene these, and you also agree to be so bound.
Additional Services
Meetings
The majority of communication will take place via email and Zoom. Occasionally, a face-to-face meeting is preferable. In the event of face-to-face meetings concerning website development, the first meeting is free for the first hour, after which an hourly rate is payable,e rounded up to 15-minute increments. All further meetings are charged at the going hourly rate of £95 per hour per hour and rounded up to the nearest 15-minute increment. In all meeting circumstances, whether chargeable or not, mileage is to be paid at £0.45 per mile.
Each website build will include up to 2 Zoom meetings. After which, additional meetings are chargeable at a rate of £95 per hour, bookings are for a minimum of one hour and are booked and paid for in advance of the meeting. Any time after the hour is billed in 15-minute increments, rounded up to the nearest 15 minutes. Should the meeting last more than an hour, an additional invoice will be raised, and payment is due by return.
Website tuition
Once your website has been signed off and paid for, you are under no obligation to continue to use the services of Build Your Business Online. You are welcome to engage in the services of Build Your Business Online for updates, additional pages, redesigning the website, etc. Or you may wish to make these changes yourself. If you would like to engage in tuition, you may do so by booking an appointment with us.
Monthly retainer packages
Monthly retainer packages are available where Build Your Business Online will ensure that your website is backed up with all plugins, themes and templates updated within 14 days of the update being issued. It is possible to include a certain number of hours’ work for updating the website each month. Payment for monthly retainer packages is due on the 1st of each month, prior to the work taking place should be paid by Direct Debit.
Troubleshooting
There are many reasons that websites can show errors. This can be a result of plugin clashes, drop-in server time, user updates or other causes. When your website is signed off, it will be in full working order, having been thoroughly tested to ensure all links and forms are working and the site is fully mobile responsive. Should the site encounter errors after having been signed off, Build Your Business Online will troubleshoot the error at an hourly rate of £95 per hour.
Malware & Hacking
Please consult with us prior to adding any plugins or APIs to your website. Consultation is free and it helps us to ensure your website is secure.
Should your website be attacked/get Malware on it and it’s due to your adding plugins/APIs or code that has not been approved, there will be additional charges to remove the Malware and restore the website to its previous state. These charges start at £150 per hour
Website Content Updating
From time to time, you may want to update the content of your website. This could be adding to more images, changing dates of events or changes to text. If you would like us to update your website content for you, we are happy to do so. Please email me with what you’d like updated, and we’ll get the work booked in. Website content updating, including blog uploads, is charged at £95 per hour per hour. Payment is to be made at the time of booking in. If you would like blogs or events to be scheduled regularly, then please get in touch and we can organise a monthly retainer for you.
Hosting & SSL Certificates
We offer hosting, SSL Certificate and maintenance on a monthly basis to all websites. This includes ensuring that your website is backed up with all plugins, theme and templates updated within 14 days of the update being issued.
The website updates are performed fortnightly; the website uptime is monitored daily and all enquiries relating to this service will be answered within 24 hours. Hosting is paid for in advance, on the 28th of each month, via direct debit.
Please note that hosting with us is not compulsory and if you choose a website only option, we will upload the website to the hosting of your choice once it is ready to go live. You will need to organise your own SSL Certificate and email addresses if hosting your website yourself. All hosting plans can be cancelled with 30 days’ notice, via email. Your website files will then be sent to you via Dropbox for you to upload to the hosting of your choice, this will incur a charge of £145.
Should you like us to upload them for you, we can do that at an agreed rate, paid in advance of the transfer. Cleared funds must be received prior to website transfer. You are not obligated to host your website with Build Your Business Online. We will build your website on our servers and transfer it to you once it is ready.
Hosting with us
If we are hosting your website, there are no additional costs for:
- Transfer to the live site
- Purchase and installation of an SSL certificate
- Set up to three email addresses on your domain.
Any additional email addresses required will be charged at an hourly rate of £95 per hour, charged in 30-minute increments.
Hosting with someone else
We will send you the files of the completed website, and it is up to you/your host to upload the website to your hosting plan. If you would like Build Your Business Online to handle the transfer of the website, the following costs are applicable: uploading to your preferred hosting account £95 per hour including organisation, and installation of an SSL Certificate. The price of the certificate varies depending on the price your provider charges for it.
Please note that Build Your Business Online will not purchase the certificate for you, but we will advise you on how to purchase it from your selected provider. The setting up of email addresses will be charged at an hourly rate of £95 per hour charged in 30-minute increments. Cleared funds must be received prior to website transfer.
Data Policy
At Build Your Business Online respecting our clients’ data and privacy is a top priority. This policy outlines our approach to data retention and deletion, ensuring transparency and compliance with UK data protection laws, including the Data Protection Act 2018 and the UK General Data Protection Regulation (UK GDPR). As a registered entity with the Information Commissioner’s Office (ICO), we adhere to strict standards in managing and safeguarding your data.
We are registered as a data controller with the UK Information Commissioner’s Office.

Website Audit Deep Dive – Terms & Conditions
1. Service Provided
The Website Audit Deep Dive is a one-off consultancy session. It includes:
A pre-audit review of up to 10 pages of your website (approx. 30 minutes).
A 60-minute live walkthrough via Zoom.
Professional feedback and recommendations on design, usability, performance, SEO, and content flow.
2. What’s Not Included
The audit does not include:
Implementation of changes or fixes (this can be arranged separately as part of our WordPress Wellness Service).
Copywriting, design work, or development beyond recommendations.
3. Payment
Full payment of £197 is required at the time of booking.
Your booking is only confirmed once payment has been received.
- Once you have paid, you will be redirected to a calendar booking page to choose an available date and time for your website audit.
4. Cancellations & Rescheduling
You may reschedule your audit with at least 48 hours’ notice.
Cancellations made less than 24 hours before the session are non-refundable.
If you miss the scheduled session without notice, the fee is non-refundable.
5. Client Responsibility
You agree to provide accurate website details and complete the onboarding form before your session.
Please ensure you have a stable internet connection and Zoom access at the time of the audit.
It is your responsibility to take notes during the session.
6. Limitations
The audit provides professional recommendations based on my expertise and experience. However, no guarantee is made regarding specific improvements in search engine rankings, enquiries, or sales.
Results may vary depending on how and when the recommendations are implemented.
7. Intellectual Property
All recommendations and materials provided during the audit remain the intellectual property of Build Your Business Online. They are provided for your personal and business use only.
8. Governing Law
These terms are governed by and construed in accordance with the laws of England and Wales.
WordPress Wellness Clinic – Terms & Conditions
In addition to our standard Terms & Conditions, the following apply to all WordPress Wellness Clinic bookings:
- Minimum Booking
- All sessions are booked in a minimum of 3 hours.
- Complex work such as malware removal, hacked site recovery, plugin conflicts, database errors, or migrations, may require additional time billed at £95 per hour after the initial 3 hours.
- Scope of Work
- Clients must provide a clear list of required updates or fixes before the booking.
- If the list is likely to take longer than the booked slot, we will notify you in advance so you can book extra time or prioritise tasks.
- In our experience, no website requires only one hour of work. Any remaining time within the 3-hour booking will be used to make further beneficial improvements such as performance, SEO, or security checks.
- Before work begins, we will confirm in writing what will be completed during your session. Any extras outside the agreed scope will be quoted separately.
- Client Responsibilities
- Clients must provide full WordPress admin login details and hosting access before the start of the session.
- Failure to provide correct access may result in delays or the need to reschedule.
- All logins provided are treated as confidential and used only for the purpose of carrying out the booked work.
- Payment
- Payment is due in full before any work commences.
- Bookings are only confirmed once payment has been received.
- Backups & Liability
- We will take a backup before making changes where possible.
- It is the client’s responsibility to ensure suitable, up-to-date backups are in place via their hosting provider.
- While every care is taken during updates and fixes, we cannot be held liable for downtime, data loss, or functionality issues caused by hosting failures, third-party software (themes, plugins, integrations), or circumstances outside of our control.
- Where issues arise due to conflicts or incompatibility, we will advise on solutions, which may require additional time and cost.
- Maintenance Mode
- Depending on the type of work carried out, your site may be placed in temporary maintenance mode while changes are made.
- Recommendations for New Websites
- If during your session we feel your website would be better served by a full redesign, we will advise you of this so you can make an informed decision.
- Cancellations & Rescheduling
- Sessions may be rescheduled with at least 48 hours’ notice.
- Cancellations with less than 48 hours’ notice are non-refundable.
SEO Audit Disclaimer
The following terms apply to all SEO Audit services provided by BYBO Digital.
- Purpose of the Audit
The SEO Audit provides an in-depth analysis and professional recommendations based on current best practices. The report is designed to help improve your website’s visibility, technical performance, and search engine optimisation. - Accuracy and Limitations
Every effort is made to ensure the information provided is accurate and up to date at the time of delivery. However, search engine algorithms and ranking factors frequently change and are beyond our control. As such, results and improvements cannot be guaranteed. - Scope of Service
The audit includes analysis and recommendations only. It does not cover implementation of any suggested changes, third-party costs, or ongoing SEO work unless agreed in writing as a separate service. - Liability
We are not responsible for any direct or indirect losses, ranking changes, traffic fluctuations, or revenue variations resulting from the use or non-use of the recommendations provided in the audit report. - Access and Data
To complete the audit accurately, temporary access to third-party tools such as Google Analytics, Search Console, or hosting accounts may be required. By using our service, you agree to provide such access where necessary. All information shared will be handled securely and treated as strictly confidential.
